The Resident Services Coordinator will work with our Central Operations team to assist with Home Owners Association (HOA) needs. This resource will ensure daily transactions are being logged and corrected (if needed) and assist in keeping our team caught up. This role requires impeccable attention to detail, speed in learning new tools, and a knowledge of accounting is helpful. We want to transform what it means to rent through exceptional customer service, operational excellence, and a passion for hospitality.
Key Responsibilities:
The Resident Services Coordinator responds to resident inquiries, providing quality, accurate resolutions utilizing multiple internal systems and resources. This role works to identify requests, amenities, and work orders, both routine and emergency, and communicate relevant information back to the resident. As the friendly first point of contact within Elara, the Resident Services Coordinator uses creative problem-solving to ensure customers’ needs are heard, prioritized, and met.
Using proper judgment, the Resident Services Coordinator identifies and escalates priority issues, and overall ensures compliance in triaging events. The Resident Services team is crucial in ensuring our company values are modeled day in and day out. As a customer-facing team, “Obsessing over customers” comes naturally, and building and maintaining trust is the priority.

Navigate Picket Internal Tools:

  • Update HOA community information in Picket's proprietary platform as well as any additional tools.
  • Process and address HOA and city code violations for resolution.
  • Create work orders to address HOA and city code-related violations.
  • Process regular payments regarding HOA dues, fees, fines, or other payments as necessary.
  • Perform regular audits of assigned properties to ensure balances are paid timely and in accordance with assessed amounts.

Represent Elara on HOA needs, including but not limited to:

  • Assist in managing HOA email inbox and identify junk versus non-junk communication.
  • Take necessary action on legitimate emails and/or assign them to the appropriate owner.
  • Setup autopay on HOA accounts.
  • Confirm accounts are current and in good standing.
  • Communicate with the accounts payable department where autopay is not an option and ensure proper payment type is submitted.
  • Execute manual payments.
  • Log payments and/or upload payment receipts and communicate with the accounts payable team the location of payment records.
  • Assist with Architectural Review Committee (ARC) submittals.
  • Communicate violations with residents.

Requirements:

  • Experience with property management
  • Excellent verbal and written communication, problem-solving, and analysis skills
  • Honest, ethical, and able to maintain confidentiality in a business setting.
  • Experience in basic computer applications and the ability to learn industry software tools.
  • Experience working within a Customer Relationship Management System (CRM)
  • Graduate of any course related to BS Accounting or Business Management
  • Minimum two years of professional experience in the same field
  • Willing to work On-site in Cebu on a hybrid schedule.
  • Philippine Night Shift Schedule (M-F 8a-4p CST)
